SUMMARY

The Office Manager provides friendly and efficient service and coordinates a variety of administrative duties in support to the entire leadership team.


RESPONSIBILITIES

  • Welcomes guests and customers by greeting them, in person or on the telephone, answering or directing inquiries to appropriate individual.
  • Maintains and manages the operations team calendar and coordinates appointments as needed.
  • Assists in the planning and execution of meetings and events.
  • Serves as liaison between leadership, managers and visitors as required, reviews, requests, and schedules appointments and meetings.
  • Maintains current office furniture, décor, appliances, and electronics to a high standard and updates as required.
  • Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies and placing/expediting order for supplies.
  • Interacts with managers and leaders to prioritize and assist with the execution of multiple tasks and activities required to meet deadlines.
  • Maintaining the current filing and database system and looking for ways to improve current systems.
  • Arranges domestic and international travel for all business travel requirements for Hatteras team members and customers.
  • Coordinate with maintenance to keep the office clean and safe and ensure its appliances are in good working order.
  • Provides clerical/administrative support to team as needed; duties to include but not limited to photocopying, faxing, mailing, and filing.
  • Performs other duties as assigned.

 

REQUIRED EDUCATION/EXPERIENCE

  • Bachelor’s Degree or administrative experience
  • Strong organization skills with ability to prioritize in a dynamic environment
  • Ability to work efficiently with minimal supervision.
  • Attention to detail, organizational, analytic, and problem-solving skills.
  • Ability to maintain high level of confidentiality.
  • Responsive to staff needs, including professionalism, respect and consideration of others.
  • Excellent interpersonal skills with the ability to maintain highly confidential information.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Must be able to multi-task effectively
  • Strong verbal and written communication skills required
